What a strong letter includes
- Who is writing, their address, ID and occupation.
- The applicant's full name and passport number, exactly as on their passport.
- The relationship between you, and the purpose and dates of the trip.
- Exactly which costs are covered — flights, accommodation, daily expenses.
- A clear statement that the visit is temporary.
- Contact details, a signature and the date.
What to attach
- A copy of the sponsor or host's passport or identity document.
- Proof of address, such as a utility bill or tenancy agreement.
- The sponsor's recent bank statements and proof of income.
- Proof of your relationship, such as a birth or marriage certificate.
- For a host: proof of their immigration status in the destination country.
When a plain letter isn't enough
- Some Schengen countries use official or authenticated host and sponsor documents — for example France's attestation d'accueil — rather than a plain letter. Check your country's checklist first.
- For a UK visit, GOV.UK requires a sponsor to show what support they are providing and that they can afford it. It doesn't list an invitation letter as mandatory for family visits.
Mistakes that weaken a letter
- A sponsor whose bank statements can't support what the letter promises.
- Names, dates or relationships that don't match the application or documents.
- An unsigned letter, or wording copied word for word from a sample online.
- Leaving out the proof of relationship.

Do I need a sponsor letter for a visa application?+
Only if someone else is paying for your trip. If a sponsor is supporting you, the UK guidance says they must show what support they are providing, how, and that they have enough funds to support themselves and their dependants. A letter is the clearest way to set that out, alongside their financial documents.
Is an invitation letter mandatory?+
It depends on the country and your purpose. For a UK visit to family or friends, GOV.UK doesn't list an invitation letter as mandatory, although a letter from the organiser is required for business events. Some Schengen countries expect an official host form or an authenticated declaration instead of a plain letter, so check your country's checklist first.
Can I just copy a sample letter from the internet?+
Avoid it. Officers see the same template wording again and again, and a letter that doesn't match your documents — names, dates, relationship, the sponsor's income — does more harm than none. Use a template as a starting point, then make every detail match your evidence.
Does a sponsor letter replace bank statements?+
No. The letter explains the arrangement, but the sponsor's bank statements, proof of income and proof of identity carry the weight. A letter promising support the sponsor's documents can't back up weakens the application.
